 Vestry Meeting Minutes

                                        April 10, 2017

                                 Trinity Episcopal Church

Vestry Members Present:  Scott Avedisian, Chris Allen, Colleen Burg, Rick Butler, Rob Duncanson, Winston Lima and Donna Blue Tobin.

Vestry Members Absent:  Wayne Barnes, Ken Ferro, Kim Ford, Nancy Haight, Fr. Mitch Lindeman, Celeste Leal and Chris Margadonna.

The meeting was called to order @ 7:03 p.m. with a prayer lead by Rob.

Minutes:  The minutes for the last meeting were presented by Scott.  Donna made a motion to accept the minutes from our February 12th meeting. Rob seconded – All were in favor.  The minutes were accepted as submitted.

Treasurer’s Report:  Scott went over the treasurer’s report in Nancy’s absence.  There was a surplus of $524.76 for the period  of 01//1/17 – 3/17/17.  

There was a Resolution to approve the parochial report.  Motion to approve was made by Rick and seconded by Donna.  All were in favor.

Senior Warden’s Report:  

  • Family First (Moms Helping Moms) are leaving as a tenant.
  • The Temple will be taking over their location.
  • Jeff Foster is ready to start scraping and painting the Chapel.
  • Wine glass painting class set for May 19th at 6:00 in Church Hall.
  • Men’s group had a great Lenten series.
  • Discussed doing another Laundry Love.
  • Talked about having another Sunday service at ECC in Pascoag.  Also, on the lawn at the church.  
  • Ghost Tour set with O’Rourke’s for Thursday, October 26th at 6:00 and Sunday, October 29th at 6:00.
  • Gaspee Days – Ecumenical Service 2nd Saturday in June.  We still need someone willing to cook the pancakes.
  • Lemongrass fundraiser set for April 30th.
  • Diocesan Leadership Institute is April 29th.  We have five people signed up thus far.  Mitch will be speaking about “renting out your space”.

Junior Warden’s Report:  Winston had pictures of different types of signs we can purchase to replace the one out in the front of the building.  He will bring some in soon so that the congregation can choose the ones they like the best.

Winston is getting a MIA flag.

Fr. Mitch’s Report:  Scott graciously filled in for Fr. Mitch.

The next meeting of the Vestry will be Monday, May 8th at 7:00 in the Bay Room.

Vestry minutes 2016/12/18

Vestry Meeting Minutes

                                          December 18, 2016

Vestry Members Present:  Chris Allen, Scott Avedisian, Rick Butler, Rob Duncanson, Ken Ferro, Kim Ford, Carol Hills, Winston Lima, Mitch Lindeman and Don Raleigh.

 

Vestry Members absent:  Colleen Burg, Don Elderkin, Nancy Haight, Celeste Leal.

 

The meeting was called to order at 9:00 a.m. with a prayer lead by Mitch Lindeman.

 

Minutes:  The minutes were read by Scott.  Winston made a motion to accept the minutes from the November 20th meeting and Ken seconded.  The minutes were approved.

 

Treasurers Report:

Scott read the report in Nancy’s absence.  Everything is moving along well.

 

Senior Warden’s Report: 

  • Christmas in Pawtuxet was a success.  102 people
  • Collected over $400.00 for the food pantry.
  • Food drive was good.
  • Joyce had a very good response to the gifts for the kids at Central High.
  • Carol Hill, Don Elderkin and Don Raleigh will be leaving the Vestry.  We want to thank them for their services.
  • The annual meeting will be Sunday, January 29th at 11:30.

 

Junior Warden’s Report:

Winston’s wish list for 2017

  • Split the heating systems so the church and basement are separate.
  • Ginny’ office – have new windows and frame installed.
  • Front doors of church need to be sanded down and sealed.
  • Much of the trim around the building needs painting.
  • Get a new refrigerator for the kitchen and remove the old one.
  • Fix or change the sign outside so it can be seen better at night.

 

 

Other Business:

  • An article was written in the Warwick Beacon about the organs we no longer need.  One has found a home and we received a donation of $50.00 for it.
  • The Clergy Housing Declaration was presented and approved.

 

Fr. Mitch discussed:

Christmas Services will be as follows:

  • 3:00 December 24th, kids service and two piñata’s downstairs.
  • 5:30 Main service
  • Christmas morning there will be one service at 10:00 a.m.
  • Discussed possibility of a Christmas Pageant next year.

 

Next month’s meeting will be Monday, January 9th, 2016 in the Bay room.

Vestry Meeting Minutes

The meeting was called to order @ 9:00 a.m. with a prayer lead by Fr. Mitch.

 

Minutes:  Mitch made a motion to amend the minutes to reflect “Treasurer and Assistant Treasurer may serve a second three year term”.  Colleen Burg made a motion to accept the minutes as amended from our January meeting.  Rick Butler seconded – All were in favor.  The minutes were accepted as submitted.

 

Treasurer’s Report:  Nancy presented the January budget with a small deficit of minus 779.48.  This is normal for this time of year.

 

Senior Warden’s Report:

  • Temple AM David looking to rent space for their Friday night service.
  • ECC Diocese Camp – discussed having service there in late spring.
  • Also discussed having service again on the lawn and at the yacht club.
  • The By-Laws committee is working on the possible amendments that the Vestry suggested.

 

 

Junior Warden’s Report:

  • Commended Donna Blue Tobin for the great job with the gold leaf painting on the Altar.
  • Discussed the painting of the Chapel.  Quote of $3,300.00.  This will be bartered with the Village in exchange for no rent.
  • Splitting the heating thermostats in the church.
  • Winston wants to put a MIA flag in front of the building.

 

 

Fr. Mitch’s Report:

  • Discussed possibility of fundraising with a wine glass painting class.  Chris and Mitch will follow up together.
  • Discussed meeting with contact to help promote our church on Facebook to potentially increase our congregation base.  Mitch and Chris to follow up.
  • Commissioning and Installation of new Vestry members happening at 10:00 a.m. service today.
  • During Lent the men’s group is having a Tuesday night series where we’ll learn about various faiths such as Judaism, Muslim and Roman Catholic.

 

Other Business:

  • Coffee hour, more help is needed.  It was discussed Vestry members taking a turn.

                                     January 29, 2017

1)  Vestry Members Present:  Scott Avedisian, Christine Allen, Colleen Burg, Rick         Butler, Rob Duncanson, Don Elderkin, Ken Ferro, Kim Ford, Nancy Haight, Carol Hills, Winston Lima, Mitch Lindeman and Don Raleigh.

 

 

2)  Vestry Members Absent:  Celeste Leal

 

The meeting was called to order @ 10:40 a.m. with a prayer lead by Fr. Mitch.

 

3) Corporation Members Present:  A Quorum was determined to be present.

 

4)  Minutes:  Ginny Leahy made a motion to approve the 2016 Annual Report. Don Elderkin seconded – All were in favor – The minutes were accepted as submitted.

 

5)  Treasurer’s Report:  Nancy read the annual report.  We had a total surplus for the year of $13,012.74.  The Vestry has sequestered that money for the remaining upgrades to the building.  Winston Lima made a motion to accept the Treasurer’s Report as submitted, Rick Butler seconded – All were in favor.

 

6)  Senior Warden’s Report:  Acknowledged the three people whose term on the vestry is complete and noted the charity that money will be donated to in their names.

1)  Don Elderkin           Connecting Children & Families

2)  Don Raleigh             Episcopal Charities Fund

3)  Carol Hills                 St. Mary’s Home for Children

 

Scott Avedisian went over the nominating Committee Report, introduced the nominees and went over the rules of voting.  The ballots were distributed and collected by Rob Duncanson, Vickie Anonia, and Carl Hurtubiese.  They went over all of the ballots and the final of the election was:

  • There were a total of six elections.
  • The three new people on the  Vestry are:

Christopher Margadonna, Donna Blue Tobin and Wayne Barnes.

  • Delegates to Diocesan Convention:
  • Scott Avedisian 52,  Nancy Dorsey 43, Bill Plumb 42, Ken Ferro 38 and Fred Holst 19.  Ken Ferro and Fred Holst will be alternates.

 

7)  Audit Committee:  Scott Avedisian announced that Kim Ford, Greg Spears and Bill Plumb will oversee the annual audit of the Treasurers report and the Rectors discretionary fund.

 

8)  Junior Warden’s Report:  Winston Lima gave a brief overview of all the projects and upgrades that were made throughout the year.

 

9)  Fr. Mitch’s Report:  Honored Barbara Read for all her years of service on the Alter Guild.  Mitch Lindeman thanked everyone for all their service throughout the year.

 

10)  Ministry Reports:   There was a brief report on each of the following:

Senior Warden, Junior Warden, Clergy, Daycare, Godly Play, Episcopal Charities, Prayer Chain, Healing Ministry, Ushers, Ministry at the Altar and Social Outreach.  There was a motion to approve by Ken Ferro – seconded by Don Elderkin – All were in favor.

There was a By-Laws Committee established (Nancy Dorsey, Colleen Burg, and Wayne Barnes) to recommend changes to the terms of the Treasurer and the Assistant Treasurer.

 

11) Other Reports:  The following Ministry reports were accepted as presented in the written report.  Acolyte, Altar Guild, Bells, Coffee Hour, Communications, Educational Series, Fundraising, Music, Pennies for People, Procurement, 7 Up, Stewardship, and Sunshine.

January 9, 2017

The meeting was called to order @ 7:05 PM with a prayer lead by Rob Duncanson.

Treasurer’s Report:

Budget shows a 13K income after expenses, repairs and modifications to the church.  Ken Ferro motioned to accept the Treasurer’s Report as submitted, Winston Lima seconded– All were in favor.

 

Scott motioned to sequester the 13K surplus for 2017 budget, Nancy Haight seconded – All were in favor

 

Senior Warden’s Report:

  1. Christmas season was awesome!  Scott was particularly pleased to see a strong turn out on Christmas Day.
  2. Audit Committee – We need to appoint an Audit committee – It was agreed we’d use members from our parish and Kim Ford agreed to work on this committee.

 

Junior Warden’s Report:

Winston wants to prioritize the new sign for the corner of Ocean and Commercial Streets.  Winston wants to designate it from 2016 in to 2017.  Work continues on our building,   Scaffolding will be used to remove flags to clean, fix ceiling fan, clean, dust, paint chapel.

 

Work to be done for 2017 –

  • Sign – Priority per Winston Lima
  • Windows – replaced in Fr. Mitch’s office and Parish Office – Rick Butler getting prices
  • Fan in Church
  • Paint Chapel
  • Split Heating System
  • Electrical Panel

 

Budget Proposal for 2017

Overview of Proposed Budget for 2017 was reviewed.  Winston Lima motioned to accept the budget as presented, Kim Ford seconded and all were in favor.

 

Nominating Committee Report

The Nominating committee met to submit names to Vestry for presentation @ our Annual meeting on January 29, 2017 following the 9:00 AM Service.

 

For Vestry:  Christopher Margadonna, Donna Blue Tobin, Wayne Barnes

 

Nominations from the floor will be accepted for Vestry & Delegates

 

For Diocesan Convention Delegates:                         Bill Plumb, Ken Ferro, Scott Avedisian, Nancy Dorsey and

(As there were more than three candidates, a lottery determined the order of placement on the ballot.)

Andy Burkhardt will post the proposed slate for Vestry and Delegates to Diocesan Convention on our Web Site.

 

By-Law Change

Proposal was made that we amend the By-Laws whereas the Treasurer and Assistant Treasurer serve a three year term.  Colleen Burg motioned to accept the proposed amendment, Rick Butler seconded – all in favor.  The proposed change will not be voted on @ the annual meeting rather a special meeting in the spring.

 

Open Agenda:

Due to the storm cancelling church on January 8th, our January 22nd 10 AM service will be in recognition of the Inauguration of Mayor Scott Avedisian.

 

Nancy Haight suggested an International Pot Luck for the Parish as it would blend various cultures and be an informative and fun gathering.

 

During Lent the Men’s group is organizing a Tuesday night series where we’ll learn about various faiths such as Judaism, Muslim and Roman Catholic,

Minutes:  Ken Ferro made a motion to accept the minutes from the September 12th meeting and Winston Lima and Carol Hills seconded.  The minutes were approved.

 

Treasurers Report:  The Mystery Dinner was a total success raising $1,854.96.

 

  • Nancy explained that although we are doing many repairs the money is coming out of the Armbrust donation fund.
  • Monthly collection is down.  Other methods were discussed.
  • Scott is looking into having laminated cards made and kept in the pews to help encourage parishioners to pay electronically.

 

Senior Warden’s Report:

  • Ghost tour completely sold out for both evenings.
  • Bishop’s visit was a great success with a full house.
  • The blessing of the animals and outreach Sunday with our tenants was also at capacity.
  • Diocesan Convention will be on November 4th and 5th.  Mitch, Scott, Fred, Ken and Bill will be attending.  Only one resolution has been submitted thus far.
  • Scott will ask Donna Tobin and Mitch will ask Gregory Spears to be on the nominating committee.

 

 

Junior Warden’s Report:

  • Winston wants the lights on a timer outside. 
  • Discussed updating the Trinity sign.
  • Rick is getting a price on having the stove modified.
  • Discussed the many repairs that have been done around the building thanks to Winston and Rick.

Other Business:

  • Chris and Scott discussed TAPS and the upcoming ghost tour.
  • Laundry Love was a success.  Thanks to Colleen and Rob.
  • Rick said the left and right in Alter lights will get a new switch but won’t be able to dim.
  • The lights in the back of the church have been repaired.
  • Rick is looking into changing the position and locationof the lights for the flag poles.

 

Fr. Mitch discussed:

  • We will have the same schedule for Christmas as last year.
  • Sunday Mitch was the Protestant Chaplain at Bryant University.

Vestry Meeting Minutes

 

Vestry Members Present:  Chris Allen, Scott Avedisian, Colleen Burg, Rob Duncanson, Don Elderkin, Ken Ferro, Kim Ford, Nancy Haight, Winston Lima, Mitch Lindeman, and Don Raleigh.

 

Vestry Members Absent:  Carol Hills, Celeste Leal, Rick Butler.

 

The meeting was called to order at 7:00 p.m. with a prayer lead by Mitch Lindeman.

 

Minutes:  Ken Ferro made a motion to accept the minutes from the June 13th meeting and Rob Duncanson and Don Elderkin seconded.  The minutes were approved.

 

Treasurers Report:  Nancy talked about the profit and loss statement from June through August.  Scott explained that even though it looked like a deficit of $2,338.39 it really isn’t because of $6,255.65 in repair and maintenance.

 

Senior Warden’s Report:

  • Beyond the Walls – very successful. Three services outside.
  • Belfry – the belfry has been cleaned out.  More than $200.00 was raised from the sale of unwanted items in the belfry.
  • Events – Book Sale was a success.  Upcoming Murder Myster this Saturday.
  • Laundry Love – Colleen is ordering more bags.  All set for October
  • Diocesan Convention is November 4th and 5th.
  • Bishop’s Visit – The Bishop will lead the 8:00 and 10:00 Services on October 2nd.  All Vestry members are requested to be in the Bay room for 9:00 a.m. to meet with the Bishop.
  • Rick has fabricated and installed the candle holders.  The candles have been purchased.  Great Job
  • Education Building – All the space has been rented.

 

Junior Warden’s Report:

Many projects have been completed over the summer.

  • The roof repair is complete.
  • Parish hall exit is now functioning and fencing installed
  • Sacristry steps have been repaired.
  • Work has begun on the doors of the church.
  • Electrical work to be completed soon.
  • Scott will contact an iron fabricator to see about a railing for the back stairs.

 

Other Business:

  • Colleen Burg discussed trying to encourage the congregation to electronically send in pledges.
  • Chris and Scott discussed TAPS and the upcoming ghost tour on October 26th and 27th.
  • Discussed this weeks “Murder Mystery dinner”.
  • Don Elderkin is ready to start a series of healing classes.  He is getting a great response.
  • Received a letter from RI Mentoring thanking us for our donation of $250.00.

 

Fr. Mitch discussed:

  • Sunday class for interested new members: leads to Confirmation
  • Tenant Sunday: Oct 9 – inviting our shared space partners here.
  • Blessing of the animals; that same day.
  • Christmas in Pawtuxet:  Early December
  • Nursery New Hire: lead volunteer is Jessica Weaver, with Annika Istok.

 

The next meeting will be on Monday, October 17, at 6:00 p.m. in the Bay Room.  We have extended it one week due to the Columbus day holiday.

We concluded the meeting in the church to see all the lights that Scott had purchased and the candles in the holders which Rick Butler designed and installed.  Scott suggested using these lights during Silent Night at mass on Christmas Eve.  They look wonderful.

Vestry Meeting Minutes

June 13, 2016

Trinity Church

 

Vestry Members Present:  Chris Allen, Scott Avedisian, Colleen Burg, Rick Butler, Rob Duncanson, Don Elderkin, Ken Ferro, Kim Ford, Nancy Haight, Winston Lima, Mitch Lindeman, and Don Raleigh.

 

Vestry Members Absent:  Carol Hills, Celeste Leal.

 

The meeting was called to order at 7:00 PM with a prayer lead by Mitch Lindeman.

 

Minutes:  Don Elderkin made a motion to accept the minutes from the May 9th meeting and Rob Duncanson and Ken Ferro seconded.  The minutes were approved

 

Treasurers Report:  Scott read the profit and loss statement for January through May 2016.

 

Senior Warden’s Report:

Trinity received a rebate from the Diocese of $540.56.  The Bishop suggested using the money in

the parish  (not to donate).    Some suggestions were for laundry love, a car wash, the service at

the Yacht club and our end of the year picnic.

 

Organist search:  Eight applications received, Scott suggested four are very well qualified.

David, Wayne, Vance and Mitch to go over the resumes and make the initial cuts.

 

 

Junior Warden’s Report:

Masonry work started.  They did the front and back steps.  Will be starting at the front of the

Church and working around the building from there.   Tree trimming people are coming.  Rick is

obtaining a price on a sump pump.   The back stairway railing will be replaced soon.

 

New Fence:  Scott spoke with Donna Manchester who suggested that 2 volunteers might

be interested in taking on the project of a new fence for Trinity.

 

 

 

Other Business:

  • Colleen Burg said the pledges for Episcopal Charities are on track.
  • Taps will be coming in July and August to check the building
  • Rick Butler will get measurements of buildings for taps
  • Rick Butler will have candle lights for the windows in the church for Sept. meeting.
  • Don Elderking working on a healing class for the fall.
  • Mobile zoo to come at the start of Sunday school in Sept.
  • Laundry love put off until September.
  • Murder mystery dinner to be held Sept 17th.  Scott suggested Aspray Boat house.
  • Pancake breakfast brought in more than $200.
  • Don and Colleen would like to explore a vehicle which if Andy Burkhardt or his Son
  • Are otherwise busy we have others who can send out an email blasts or alerts.  Mitch mentioned Constant Contact.

 

 

Fr. Mitch discussed:

Baptisms:   two scheduled for June

Weddings:  One scheduled for June

Fr. Coburn will cover for Mitch when he is out of town in July/early August, should there be

Any emergencies.  He is at Church of the Ascension  in Cranston.

 

The next meeting will be Monday, September 13th at 6:00 on Bill Plumbs boat.

Vestry Members Absent:  Don Elderkin, Nancy Haight, Celeste Leal, Mitch Lindeman,

The meeting was called to order at 7:00 PM with a prayer lead by Colleen Burg.

Minutes:  Rick Butler made a motion to accept the vestry minutes from the April 11th meeting and Carol Hills seconded.  The minutes were approved.

Treasurers Report:  With Nancy absent, Scott presented the Profit & Loss Statement from January through April 2016.

Correspondence:  Chris read a thank you not from Monique Bowen on behalf of Brenda Burke thanking everyone for the prayer quilt.

Senior Warden’s Report: 

The educational wing of the church has been rented out to group of adoptive/foster parents with

children with severe disabilities.  One of the parents is a mason and has agreed to do repair work

In lieu of rent for the next seven months.   A total of $6,500.00 in work for the sum of $3,000.

The $3,000 fee is to be paid from the Armbrust  fund.  A Motion to approve Invoice # 135 was

introduced by Colleen and seconded by Don Raleigh.

 

Cleanup day briefly discussed:

 

Organist search:   We have two applications to date.  We are not in any rush to find someone.

We prefer to take our time and find the right person.

 

Junior Warden’s Report:

Winston suggested we have someone look at the back doors to the chapel which probably need

replacing.  Scott will contact a local door company to get a quote.

 

Other Business:

Priorities for the coming year:

Ghost Tour – October – Scott talking with TAPS

Laundry – Sometime in August – Chris contacting Job Lot for donation of detergent.

Service to be held in Pawtuxet Park or the Yacht Club or possibly both, dates to be determined.

Bring Zoo Mobile in June for end of church school year.  Carol will be contacting the zoo.

Discussed possibility of dinner at 4 or 5 different homes.  Scott will  contact the person  who

Scheduled the last one.

 

 

New Business:

Christmas Ornaments of Trinity Church.  Suggested selling or giving away.  To revisit in the Fall.

 

Candles –  Rick Butler looking into a way to attach votive candles to the windowsills in the

Church.

 

Closing prayer was led by Scott and the meeting was adjourned at 7:50 PM.  Our next scheduled meeting is June 13, 2016 in the Bay room
